Account Credit Notes Screen

Account Credit Notes are viewed in Account / Billing / Credit Notes

Overview

From this screen you can view, create, delete and deliver credit notes to account contacts.

Credit Notes Panel

The Credit Notes panel towards the left of this screen shows credit notes that have been created on the account and credit note details. Actions are also available in this panel which are shown as icons above the Filter text box. The available actions are described below.

Allows you to view a rendered credit note in a new tab/window

Delivers the credit note to an account contact by email or marks the note as delivered offline

Deletes the selected credit note

Adds a new credit note to the account

Edit Credit Note Panel

The information in this panel reflects the currently selected credit note. From here you can view credit note details (note: fields with a magenta left border are required).

Credit Note Fields:

  • Delivery Type: auto-populated, read-only field that is set to either 'Offline' or 'Email' during the credit note delivery process. If this field is not populated then the credit note has not yet been delivered

  • Date Delivered: auto-populated, read-only field set to the offline delivery date selected/email delivery date during the credit note delivery process. If this field is not populated then the credit note has not yet been delivered

  • Description: an optional description that indicates what the credit note relates to (i.e. what the credit(s) in the note are for)

Credits tab

This tab displays credits that are attached to the credit note and details on each credit attached.


Guides

Adding Credit Notes to the Account

Note: credits in currencies that do not match the loaded account’s currency will not be displayed when attaching credits to a credit note. For instance, if a child account is billed in CAD and its parent account (set up to be invoiced for the child account’s charges) is billed in USD, then the child account credits will not be listed when selecting which credits are to be attached to a credit note on the parent account’s credit note screen.

  1. Under the Credit Notes heading on the left click the (emoji) icon

  2. On the Generate Credit Note modal that appears select a Date for the credit note, a Template to define the appearance of the credit note and optionally, a Description for the note. Next check of the Select option for each credit that you want to display on the credit note and then click Generate to create the credit note

  3. The note will now be present on the account where it can be viewed or delivered as needed


Viewing Credit Notes

  1. Under the Credit Notes heading on the left click the credit you wish to view

  2. Click on the (emoji) icon and a pdf version of the note will be displayed in a new tab/window


Delivering Credit Notes

  1. Under the Credit Notes heading on the left select the credit you wish to deliver

  2. Under the same Credit Notes heading click the (emoji) icon

  3. On the Deliver Credit Note modal that loads specify if the credit note is to be delivered by email or by other offline means outside of the system. For email delivery, specify the account contact that will receive the credit note and the email template to use

  4. Click Deliver and the credit note will be marked as delivered and emailed (if that delivery option was selected)


Deleting Credit Notes

Note: Credit notes which have been delivered cannot be deleted.

  1. Under the Credit Notes heading on the left select the credit note you wish to delete

  2. Under the same Credit Notes heading click the (emoji) icon

  3. On the confirmation dialog that appears select Yes
