Question Of The Month – I need to print only a specific list of invoices at a time and I need them sorted, how can this be accomplished?

Feature Of The Month – Role Based Password Security

Tip Of The Month – Have you checked your maintenance plan lately?

Enhancement Of The Month – BillSoft Tax Exemption – New Option For ALL

I need to print only a specific list of invoices at a time and I need them sorted, how can this be accomplished?

With the new print tool, you can fully filter and sort the invoices that sit in your print queue in EngageIP.  To do this, start the print tool, then click the ‘Filter’ button, once your invoices are filtered, you can click ‘Start Printing’. For more information, see KB Article #56

Role Based Password Security

Securing EngageIP should be your first priority since all customer data is potentially accessible via the adminportal interface – with the exception of credit card numbers which are not viewable through the interface in accordance with PCI compliance.  Adminportal passwords however is a major piece of the security puzzle so hardening them is one way to increase your overall security. To ensure  your system passwords are secure for the adminportal, configure the roles in your system to enforce strong password rules including alpha-numeric passwords, password history restrictions and minimum password lengths. For more information, see KB Article #276

Have you checked your maintenance plan lately?

The first step to performance, security and disaster recovery is to have a good maintenance plan in place in MSSQL. You should be regularly checking that the maintenance plan is processing its jobs successfully and for example the backup location is not out of space, that the plan is purging old data as configured and that no errors are showing up in the log reports. For more information on using MSSQL maintenance plans, see  KB Article #40

BillSoft Exemption – New Option For All

A new option in the BillSoft exemption component allows you to select ‘All’ so that all transactions are exempt from all taxes. For detail, please see KB Article #20

Question Of The Month – Where does the billing contact come from when the Genband importer adds a user to EngageIP?

Feature Of The Month – Batch Payments – Added Confirmation and Ability

Tip Of The Month – BillSoft TaxVendor Integration Update – DLL and HST (Canada) Information

Enhancement Of The Month – Ticket Email Templates

Where does the billing contact come from when the Genband importer adds a user to EngageIP?

The billing contact is derived from the firstname and lastname on the User object in the M6. For detail on the importer, please see KB Article #25

Batch Payments – Added Confirmation and Ability

The batch payments screen has been updated to provide multiple confirmation items when adding batch payments. When you search for a user, you now have a list of invoices to confirm payment on and the first name and last name will be displayed for extra confirmation. In addition, you can now provide a list of invoices that you wish the payment to be disbursed to all on one screen. For more detail on how to use this, see KB Article #432

BillSoft TaxVendor Integration Update – DLL and HST (Canada) Information

As of EngageIP version 8.2.7, the TaxVendor dll has been integrated into EngageIP so that it does not need propagation when upgrading Billsoft files. The existing Billsoft files (dlls) however still need to be propagated to EngageIP directories. For details on the new process, please see KB Article #20

GST and PST will be replaced with HST in British Columbia and Ontario. To make sure your system is up to date when they come into effect, please review KB Article #450

Question Of The Month – When do payments show up on an invoice?

Feature Of The Month – XtendaBase – Dynamic Attributes

Tip Of The Month – Where to find what enhancements and system updates will be available to you

Enhancement Of The Month – Invoice Printing Tool

When do payments show up on an invoice?

When payments are added, they will show on the current OPEN invoice if one exists or the system will display them in the payments and credit section of the next invoice to be opened. The reflection of the payment in the total balance tokens will only also be reflect if there is an invoice open, or it will calculate in with the previous balance on the next invoice (and total due on that next invoice) For detail, please see KB Article #282

XtendaBase – Dynamic Attributes

Dynamic Attributes through our XtendaBase functionality allows the collection of custom data integrated directly with EngageIP. It is the evolution of ‘Profile Questions’ of which you are familiar. Another look at dynamic attributes means that you may be able to consolidate many like packages or services down to just 1 or 2 of the same by collecting unique pricing data for example within dynamic attributes rather then creating unique packages for each price set. This greatly simplifies your EngageIP interface and experience and limits input errors. All dynamic attributes are also available in report by clicking on the ‘View’ link on lists and selecting them. For details, see KB Article #364

Where to find what enhancements and updates will be available to you

To find out what enhancements and feature updates will be available to you, please regularly review the release notes always updated in KB Article #267

Invoice Printing Tool

The invoice printing tool has been significantly enhanced for 8.2.6+ versions of EngageIP Billing. You can now manage the  print queue by filtering out bill groups, date ranges etc when printing. This allows you to print only the invoices you need and in batches. For detail on this great enhancement, please see  KB Article #56

Question Of The Month – How can I reverse an incorrectly voided invoice?

Feature Of The Month – Financial Periods – Closing Periods For Reporting Purposes

Tip Of The Month – Using Languages To Rename Tabs And Functions

Enhancement Of The Month – Email To Ticket functionality now auto records only the last email when replied to

How can I reverse an incorrectly voided invoice?

The best method here is to bill the account again for the specified period, and with version 8.2.6 or later, this is very simple even when telecom usage is involved. For more information, please see
KB Article #427

Financial Settings – Closing Periods For Reporting Purposes

EngageIP includes a feature called Financial Settings. This allows you to define financial periods and the closing of those periods so that when end of period reporting occurs, you can be sure that no changes will be made to the system. To find out how to setup financial settings in EngageIP, see KB Article #379

Using Language To Rename Tabs And Functions

A simple way to enhance EngageIP, especially within a business where multiple applications are required and terminology for the user is varied, is to use the Language options on the setup tab to rename labels, buttons and tabs. This feature is not only useful for converting EngageIP to other language, indeed its a great way to synchronize terminology within your organization. This shortens the learning curve for new admin users, potentially saves mistakes  by using more understood / recognizable terms to tools, and further brands your EngageIP installation.

Email To Ticket Functionality Records Last Email Only

When using the Email to Ticket functionality, EngageIP will now on initial creation auto enter the complete email, and then on subsequent replies to that thread / ticket, will only auto enter the last response from the email. This saves redundant additions to the ticket to keep it clean and readable. This enhancement is available in EngageIP 8.2.6 or later

Question Of The Month – How can I reconcile usage summaries on an invoice?

Feature Of The Month – 64bit Operating System Ready And Running

Tip Of The Month – Watching Tickets

Enhancement Of The Month – Genband Sync Tool Optimizations For Speed

How can I reconcile usage summaries on an invoice ?

The best method to reconcile the telecom usage summaries such as minute buckets, used minutes etc, are through the use of the existing reports such as CDR History on your reports tab. With a little filtering, sorting and grouping, you can locate the numbers as shown on the invoice. For some tips and examples here, see KB Article #424

64bit Operating System Ready and Running

EngageIP Billing is fully 64bit aware and able, there are in fact several installations running on 64bit hardware and this helps to significantly improve performance, efficiency and overall processes. For details on installing EngageIP Billing in a 64bit environment, please see KB Article  #423

Watching Tickets

Want to keep track of tickets in your system as a support manager or simply to keep track of tickets related to a particular account you’re tracking? To receive emails and see a ticket you didn’t create in your tickets list, you can use the ‘Watch this ticket’ button along the top of an existing ticket. Using this, you’ll receive notification emails when its updated and you will continue to see the ticket in your tickets list.

For more information, please see KB Article #79

Genband Sync Tool Optimizations for Speed

The Genband sync tool has been updated to allow for greater efficiency and speed. The tool now processes data in significantly less time by minimizing the authentication overhead that previously existed in the tool. If you’re running the sync process nightly, this update is strongly encouraged when running EngageIP with a version less then 8.2.5.0. To see what version you have installed, go to your top owner, and then click ‘configuration’ in the top right corner.

Mass Emailing – Seasonal Greetings, Maintenance Notices, Etc.

stampSending a quick email greeting to a customer is a great way to stay in contact, to let them know you are taking the time to wish them the best and is a great tool to also provide notices for things like maintenance windows, or even to announce a new product or option for customers. Read more about using reports in EngageIP to send an email to your customer base here: KB Article #242

Moving Accounts Around In EngageIP

Sometimes the need arises to move a child account from one parent to another parent account. Or to make a particular parent account a child account of another parent. This function is quite easy simply by going to the tools tab on the account you want to move and using the ‘Make Parent’ and ‘Make Sub Account’ links.

Want to move a sub account from one parent to another? Here is an example of the process:

  1. On the account you want to move, click tools tab
  2. Click ‘Make Parent’ -  you first make this a parent account.
  3. On the newly created parent, click ‘Make Sub Account’ (under tools tab)
  4. Select the parent account that you want this account under
  5. Click Save

For more information please see KB Article #312

Question Of The Month – I’d like to learn ways to be more efficient when using EngageIP. Are there any tips or tricks articles?

Feature Of The Month – MSSQL Server Statistics Display On Configuration Page

Tip Of The Month – Multiple Browser / Tab Access to EngageIP

Enhancement Of The Month – Invoice Printed Button On Invoices Tab

Are there any Tips and Tricks articles ?

Yes. There are many features in EngageIP that will help you search your customer base faster, email customers with account details, and load invoices on the fly for quick ‘on the line’ review with customers.

Some great articles for these include:

If you’re looking for something in particular and cannot find it, as LogiSense Customer Care for detail here: support@logisense.com

MSSQL Server Statistics Display

You now have the ability to monitor memory usage on your SQL server directly from the EngageIP interface along with the status of your EngageIP services  (Billing and Event Manager). To view it, go to the top level owner account, then click ‘Configuration’ on the top right. You’ll see a read out of the MSSQL version, service packs installed, and the used and total memory on the SQL server.

Multiple Browser / Tab Access to EngageIP

Looking to improve your efficiency by employing multiple tabs in a browser? Please note that it is not recommended to use 1 browser with multiple tabs as the links across the tabs will change according to the user you are on in the ‘active’ tab. This is because 1 browser open means one instance of the browser which uses all the same variables underneath to render your pages. This is a widespread issue when using browsers with multiple tabs. One way to do this is to open a complete new browser (some browsers have options in the file menu to open new ‘instances’ of said browser). Be sure to test all your daily activities before using multiple browsers / logins to EngageIP to be sure that all is functioning as expected. Here is an article which details this a little more: Browser Session Issue

Invoice Printed Button On Invoices Tab

printedWant to mark an invoice as printed or sent without emailing it or having to run billing to send it to the print queue? LogiSense has added a button labeled ‘Printed’ which you can use to mark invoices as printed so that they are not delivered during a bill run, either through the email process or printing process. To use it, simply check the box beside the invoice you want to mark, and click ‘Printed’

Question Of The Month –  How can I let customers know that their tickets are important to us and that they are actively being reviewed?

Feature Of The Month – Invoice Templates  - CDR Data Options

Tip Of The Month –  Productivity Tools – Firefox Addons and others

Enhancement Of The MonthAccount Status Details

How can I let customers know that their tickets are important and that they are actively being reviewed?

Among the ways to keep customers informed of the status and location of their tickets is to use ticket escalation rules.EngageIP can be configured to escalate tickets if no response or resolution has been made after x number of minutes, hours or days and email both the customer and a support representative so that both know that there is a ticket awaiting resolution. The procedures notifies the customer so that the know what is happening with their ticket and feel confident that adequate attention is being given to it. For more details, see  KB Article #78

Invoice Templates: CDR Data Options

Invoice templates now include check box options to allow for the dynamic inclusion (if the XML code is already in the template) of the various CDR related data sets. These include: minute buckets, CDR summaries, zero dollar CDRs etc. To review, click on the setup tab of the owner you wish to edit, then click ‘Invoice Templates’, and select a template to see all the options.

Productivity - Firefox Addons and Others

EngageIP currently supports MS Internet Explorer 6,7,8 and the latest Firefox browsers. If you’re using Firefox, there are many excellent addons that can be used to enhance productivity within EngageIP as well as for general office purposes. For examples of some useful addons that can be downloaded for Firefox, see KB Article #400

Account Status Details

An option has been added to allow you to now display the account statistics list on the left hand side using your own custom definitions for statuses instead of our generic statuses for accounts. You’ll see the existing configuration under the search box on the left hand side. To allow showing your custom status, go to the owner account, click ‘Configuration’ int he top right corner and check the box beside ‘Use System Status Level’, click save, then log out and log back in. You will now see your custom status listed on the left hand side.
